Wallboard ensures that your data's security and privacy are paramount. Wallboard Server Application

This section provides a detailed breakdown of the data we gather through our server application. We collect a minimal amount of information to ensure the smooth operation of our services and to provide you with the best possible user experience.

Wallboard Server Application collects the following data, including mandatory and optional details, and explaining the reasons behind each data point's collection.

  • Name - This is the name you provide when creating an account or updating your profile. It is used to personalize your experience within our service, such as addressing you by your chosen name.
  • Email - Your email address serves as your unique identifier for accessing our services. It is used for account authentication, password reset procedures, and communication related to your account.
  • IP address - We log your IP address for specific actions, such as security purposes, troubleshooting, and to monitor and prevent unauthorized access or fraudulent activities on our platform. It helps us ensure the security and integrity of your account.
  • Optional Billing details (Country, city, address, ZIP code, company, VAT number) - Billing details are optional and are only collected if you choose to subscribe to a paid plan on our platform. These details are used for billing and invoicing purposes. We take stringent security measures to protect your billing information.
  • Optional Google user data - If you opt to integrate your Wallboard Digital Signage account with Google services, such as Google Calendar or Google Drive, this optional data collection allows us to access specific data from your Google account. It's important to note that we do not share this data with external systems. Instead, it is used to provide you with the functionality to display relevant content on your Digital Signage screens.
  • Optional Microsoft O365 user data - Similar to Google integration, if you choose to integrate your account with Microsoft Office 365 services, this optional data collection permits access to specific data from your Microsoft Office 365 account. This data is not shared with external systems but is used to enhance the features and capabilities of your Digital Signage screens.

Users retain control over their data and can decide whether to display it on Digital Signage screens.

Google Cloud Integration - User Data

When you choose to integrate your Wallboard account with Google, please be aware of the following details regarding the collection and handling of Google user data:

  • Calendar data - Wallboard uses and stores this data, it is not shared with any external systems or third parties. Your calendar information remains confidential within Wallboard's secure ecosystem. Users have the option to display their Google Calendar data on their own Digital Signage screens.
  • Drive metadata and files - Wallboard uses and stores this data, it is not shared with any external systems or third parties. Your files remain confidential within Wallboard's secure ecosystem. Users have the ability to showcase their Google Drive content on their Digital Signage screens.
  • Spreadsheet data - Wallboard uses and stores spreadsheet data for the purpose of enabling dynamic content display, it is important to emphasize that this data is not shared with external systems. Users can take advantage of this feature to present real-time data and statistics on their Digital Signage screens.

Microsoft O365 Integration - User Data

When you choose to integrate your Wallboard account with Microsoft Office 365, please be aware of the following details concerning the collection and handling of Microsoft O365 user data:

  • Calendar data - Wallboard uses and stores this data, it is not shared with any external systems or third parties. Users have the flexibility to decide whether they want to display their Microsoft Office 365 Calendar data on their Digital Signage screens.
  • OneDrive/SharePoint metadata and files - Wallboard uses and stores this data, it is not shared with any external systems or third parties. Users can leverage this feature to effortlessly present their OneDrive and SharePoint content on Digital Signage screens.
  • Power BI - Wallboard uses only, it is not stored or shared with any external systems or third parties. Users have the option to display Power BI visualizations on their Digital Signage screens.

Wallboard Signage Client Application

Wallboard Signage Client Applications are designed to provide you with a seamless and reliable digital signage experience. To ensure the optimal performance of our client applications and diagnose any potential issues, we collect non-personally identifying information about the client device. Below, we outline the specific details we collect and the purpose behind each requirement:

  • IP address - The IP address is logged for diagnostic and security purposes. It assists in identifying the device and its location on the Wallboard Digital Signage platform.
  • Operating system information - Collecting operating system data helps us maintain a comprehensive understanding of our player base. It allows us to ensure compatibility and optimize the client application for various platforms, ultimately providing you with an improved and tailored digital signage experience.
  • Hardware information (CPU, RAM, storage) - This data is essential for diagnosing performance-related issues and optimizing the client application to work efficiently on devices with varying hardware specifications. It helps us ensure that your content plays smoothly.

Why is it collected?

Wallboard only collects the minimal amount of personal information to keep our systems running. Free users only need to supply their name and email address to use our service, however for paid users we also require billing information. We collect, store and compare both user and client IP addresses to prevent account fraud in our systems.

How is it secured?

All data transmitted between your device and Wallboard servers is encrypted using secure protocols, such as HTTPS, to prevent interception by third parties. Access to your personal data is restricted to authorized personnel only, and strict access controls are in place to ensure that data is accessible only to those who require it for legitimate purposes. We conduct regular security assessments and audits to identify and address potential vulnerabilities in our systems and processes.

How long is it kept?

User/client data is retained until their deletion from the system; however, certain data may persist in server logs or backups. Webserver access logs, that only include IP addresses, but do not contain any other personal data, are retained for a duration of 30 days. Application logs, documenting actions and log-in activities, solely include user identifiers (email addresses) and are stored for a period of 90 days. No additional personal information is contained in these logs. Data within backups is preserved for 90 days, but restoration is only possible through server restoration and not as an independent record.

Children's privacy

Wallboard does not knowingly collect information from children under the age of 13. If you learn that a child has provided us with personal information in violation of this Privacy Policy, you can alert us at one of the email addresses provided here.

Changes to this privacy policy

This Privacy Policy may be modified from time to time, so please review it frequently. Changes to this Privacy Policy will be posted on our websites. If we materially change the ways in which we use or share personal information previously collected from you through our Services, we will notify you through our Services, by email, or other communication.

International data transfers

We may transfer personal information to countries other than the country in which the data was originally collected.
